Hanko Tennis Club – privacy notice

This notice covers the hankotennis.fi online store, course registrations and related customer service. Other club activities and the separate court-booking service may require their own notices.

Information processed

We receive information from the customer or a minor participant's guardian, and order and payment status information from the services used. This may include name, email address, telephone number and address; order and payment details; collection and return details; customer service correspondence; and a course participant's name, year of birth, course and, where needed, playing level. Depending on the service, technical information may include IP address, browser and device information, and cookie identifiers.

We do not request health information or medical certificates for course cancellation. Please do not send them in free-text fields or by email. Payments are handled by payment service providers; we do not request full card numbers or security codes in forms or by email.

Purposes and legal bases

We process orders, payments, collection, returns and course registrations to perform a contract or take requested steps before entering into one. Necessary information is required to process an order or registration. Accounting and tax processing is based on legal obligations. Where a guardian contracts in their own name, processing necessary information about a child may be based on the club's legitimate interest in organising the course, taking the child's rights into account. Security, preventing misuse, customer service and legal claims may be based on legitimate interests following a balancing assessment. Non-essential cookies and similar technologies require consent. Electronic direct marketing relies on applicable consent or another lawful basis; marketing consent is not a condition of purchase.

Recipients and transfers

Authorised persons access information as needed for their duties. Course instructors receive only information needed to run the course. Wix provides the website, online store and registration platform. Payment providers process payment information according to their roles. Customer service and order messages are also handled in the club's Gmail account. Accounting or other statutory service providers may receive information needed for their tasks.

Wix and Google may process information outside the EU/EEA. Safeguards depend on the service and contractual relationship and may include European Commission adequacy decisions or standard contractual clauses. Retention and your rights

Information is retained for as long as needed for these purposes or as required by law. Retention depends on factors including the duration of the contract and customer service matter, accounting obligations, returns and potential claims. Information is deleted or anonymised when no longer needed, including in email and separate files.

You may request access to and correction of your information and, where applicable, erasure, restriction or portability, and object to processing based on legitimate interests.
